Position: Accounts Payable/Accounting Assistant

Reports to: Executive Controller/GM

Department: Accounting

FLSA Status: Hourly            


Job Summary:

Under the direct supervision of the Executive Controller this position provides accounting support for the Club and General Manager.

 

Essential Functions:

Accounts Payable:

  • Collect the mail from the post office and onsite mailboxes and distribute the mail as addressed.
  • Prepare and distribute invoices to department heads for review and approval.
  • Post all Capital invoices and maintain the electronic folders for each project, as well as a physical notebook for easy access to Capital projects.
  • Prepare weekly cash requirements for approval by Executive Controller.  Print and mail checks.
  • Process liquor and wine invoices and post auto drafts
  • Reconcile vendors’ statements regarding outstanding invoices, credits, and other discrepancies;  serves as the liaison between departments and vendors in the resolution of invoice problems and/or questions
  • Complete vendor credit applications
  • Assist in the preparation and mailing of Form 1099’s.
  • Assist with Annual audit preparation as requested by Executive Controller

Accounts Receivable:

  • Make remote deposits and post payments to Jonas.  Give deposits to the Executive Controller for review and approval.  File deposits with correspondence.
  • Give any member adjustment requests to the Club Accountant for processing.
  • Assist with monthly mailing of member statements

General Duties:

  • Maintain Accounting Department’s files and records including Accounts Payable paid invoices and Accounts Receivable Receipts.
  • Assist members as needed.
  • Provide support to accounting staff members and GM/COO.
  • Perform other related duties as assigned by management.
  • Assist Executive Controller with employee onboarding and employee questions during pre-season hiring.

Qualifications (required unless stated otherwise):

                Skills/Knowledge:

  • Ability to communicate in a professional manner and make the members and guests feel welcome.

Experience/Education:

  • High School Diploma or Equivalent; Associates degree in Business Administration/Accounting preferred
  • Proficiency in Windows-based software including Word and Excel required
  • Excellent communication and interpersonal skills
  • Ability to manage multiple tasks effectively with high attention for detail
